Consumables inventory software should distinguish requested, reserved, issued and physically received quantities. Define item identity, units and location ownership so stock movement does not depend on informal notes. Product suitability, storage, release and clinical use remain subject to the institution's qualified processes.

Bring your workflow, constraints and open questions. We’ll help you define the requirements and work through a practical next step.
Map the administrative movement
Identify central stores, wards or departments and the roles allowed to request and issue items. Record the intended use context only where necessary for the approved process, without turning a routine stock view into unrestricted patient information.
For a hypothetical hospital store, a department's request may be partially fulfilled. Preserve the original request and outstanding balance rather than editing it down to the issued quantity.
Use a stock-request matrix
| Stage | Quantity meaning | Exception to test |
|---|---|---|
| Requested | Department's stated need | Duplicate or revised request |
| Approved | Permitted quantity under local rules | Approval after stock changes |
| Reserved | Held against defined availability | Expiry or cancellation |
| Issued | Source movement recorded | Partial issue or wrong item |
| Received | Destination confirms arrival | Shortage or damaged packaging |
| Reconciled | Approved balance treatment complete | Unresolved difference remains visible |
Have responsible teams define restrictions for batches, expiry and held stock. A quantity existing in a location does not automatically make it available for every use.
Preserve units and item distinctions
Specify approved conversions between packs and individual units. Keep similar items distinguishable with meaningful identifiers and labels. Barcode input can help capture identity but must still resolve to the intended record.
Do not silently substitute an item because stock is unavailable. Any substitution needs the institution's authorised process and a traceable decision.
Verify reports and exceptions
Test a partial issue, a repeated receipt and a department returning unused stock. Compare source, in-transit and destination balances under the same unit rules.
Assign aged requests and unresolved transfers to named owners. Aggregate available-stock figures should explain held or reserved quantities rather than conceal them inside one unexplained number.
Consumables questions
Should departments be able to adjust stock directly?
Use role-based correction and adjustment rules with appropriate review and history.
Does software allocation establish clinical suitability?
No. The institution's qualified staff and approved procedures determine suitability and release.
