Staff availability software should distinguish planned roster coverage, approved leave and actual current availability. Define who can publish changes and how dependent appointments or work queues are reviewed. A populated calendar does not establish qualified staffing or clinical service readiness.

Let’s plan your staff scheduling scope.
Bring your workflow, constraints and open questions. We’ll help you define the requirements and work through a practical next step.
Agree the roster scope
Identify locations, service roles and scheduling periods. Have responsible clinical and operational leadership define qualification, coverage and staffing requirements. This guide does not prescribe staffing ratios, working-hour rules or clinical allocation decisions.
For a hypothetical multi-site clinic, one person's time may appear in several calendars. Use a stable identity and conflict model rather than treating each location's view as independent availability.
Use a schedule-change matrix
| Event | Requirement | Dependency to review |
|---|---|---|
| Draft roster | Not yet published availability | Authorised review |
| Roster published | Effective version and audience | Appointment and queue systems |
| Leave approved | Defined unavailable period | Existing bookings or assignments |
| Cover assigned | Authority and acceptance recorded | Role and location constraints |
| Shift changed | Clear previous and new details | Communication and acknowledgement |
| Unexpected absence | Visible operational exception | Named coordination owner |
Keep publication, notification and acknowledgement distinct. A message sent to staff is not evidence that everyone accepted a changed shift.
Explain conflicts before committing
Show overlapping commitments and which rule triggered the warning. Some conflicts may be hard blocks; others may require authorised review. Do not let the implementation invent staffing policy through arbitrary validation.
When availability changes, identify affected appointments and tasks without automatically cancelling them under an unspecified rule. Route the population to the approved coordination workflow.
Test concurrent changes
Use synthetic schedules to approve leave while another coordinator publishes a roster. Verify the final state and downstream availability remain coherent.
Include time-zone and date-boundary cases for the locations involved. Preserve published versions so staff can understand why an earlier assignment was made.
Availability questions
Does a free calendar slot prove the person can provide the service?
No. The institution must define qualification, coverage and other constraints separately.
Should leave approval automatically move patient appointments?
Only under an explicit approved process. Otherwise create accountable review work with appropriate communication.
