Batch-aware inventory software should preserve batch identity through receipt, storage, allocation, movement and return. Expiry is one attribute, not a complete decision about whether stock may be used. Have the responsible quality and operational teams define release, hold and disposal authority for the goods involved.

Let’s plan your batch inventory scope.
Bring your workflow, constraints and open questions. We’ll help you define the requirements and work through a practical next step.
Identify the required traceability
Specify internal and supplier batch references, relevant dates, units and locations. Define whether manufacturing, packaging and expiry dates are all required and how source errors are corrected.
This article concerns software records. It does not prescribe shelf life, clinical suitability, storage conditions or regulated release rules. Those need qualified domain review.
Use a batch lifecycle matrix
| Event | Requirement | Exception to test |
|---|---|---|
| Receipt | Capture source identity and relevant dates | Missing or ambiguous batch |
| Hold | Restrict use under the approved rule | Previously allocated stock becomes held |
| Allocation | Apply authorised selection policy | Preferred batch lacks sufficient quantity |
| Transfer | Preserve identity and condition state | Partial receipt at another location |
| Return | Link to the original transaction where possible | Uncertain batch provenance |
| Expiry review | Route eligible records for action | Date correction changes the population |
Keep date comparisons tied to a defined time zone and cutoff. A system-wide timestamp should not silently change the business interpretation of a date-only label.
Explain allocation policy
For a hypothetical packaged-goods warehouse, the business may choose an approved earliest-expiry allocation rule while excluding held batches. Show which rule applied and why a different batch was selected.
Do not assume a valid-looking date establishes release authority. Availability can depend on quality status, customer requirements and location restrictions. Model those dependencies rather than hiding them in manual notes.
Test forward and backward tracing
Choose a synthetic batch and find its current locations and linked movements. Then choose a dispatched record and identify its source batch. Verify partial quantities and corrected references.
Test a hold after allocation and a return with incomplete provenance. Ensure the appropriate exception queue receives the work and that unauthorised users cannot simply clear the restriction.
Batch inventory questions
Is expiry tracking the same as complete traceability?
No. Traceability also depends on stable identity and relationships across movements and transformations.
Should expired records be deleted automatically?
No universal rule applies. Stock disposition and record retention are separate decisions for responsible policy owners.
