YatraDesk: running group pilgrimages for thousands of elderly travellers, with every seat and every medicine accounted for

A pilgrimage tour operator ran large group yatras with coaches, trains, dharamshalas and helicopter sectors, coordinated through registers and phone calls. Families worried about elderly parents on the road. We built YatraDesk: group bookings with traveller health details, itinerary and inventory management, a tour manager app, a family tracking link and emergency workflows.

Families calling every evening

YatraDesk's founder ran group pilgrimages for thousands of mostly elderly travellers each season. Tour managers carried registers with names, room allocations and medicines. Every evening, families called the office asking where their parents were. When a traveller fell ill or a road closed, coordination happened over dozens of phone calls.

On the road with a group

We travelled part of a yatra with a group. Headcounts at every stop, room allocations in crowded dharamshalas, helicopter slots for some travellers, medicines at fixed times and changing road conditions filled the tour manager's day. Connectivity disappeared for hours at a time.

Bookings capture each traveller's health details and emergency contacts. The operations console builds itineraries and allocates coaches, rooms and helicopter slots. The tour manager's app works offline: headcounts, room lists, medicine reminders and incident reports, syncing when signal returns.

Families get a simple tracking link showing the group's day, location updates when online, and messages from the tour manager.

The first season

YatraDesk launched before the pilgrimage season. Evening calls from families dropped sharply once they had tracking links, and tour managers handled the first road closure by rebooking the group's night stay from the app.

What we learned

Reassurance is a product. The family link reduced anxiety more than any feature for travellers.

Offline is essential in the mountains. The app had to work for hours without signal.
