QuarryPass: closing the gap between what left the quarry and what got billed

A stone quarry and crusher operator dispatched hundreds of trucks a day, with weighbridge slips, transit permits and invoices handled separately — and material regularly left without being billed. We built QuarryPass: truck booking, weighbridge integration with camera capture, automatic transit passes, invoicing, stock tracking and a dispatch control room.

QuarryPass weighbridge station with truck and camera capture
QuarryPass: every truck weighed, passed and billed.

Trucks that left without a bill

QuarryPass's owner compared the crusher's output with invoices and found a gap he could not explain. Weighbridge operators wrote slips by hand, transit passes were prepared separately, and invoices were raised later from the slips. Somewhere between them, trucks left without being billed — or billed at the wrong weight.

“I can see the stockpile shrinking faster than the invoices grow.”

— QuarryPass's owner

A day at the weighbridge

We spent days at the weighbridge. Trucks queued in the morning rush; operators typed weights from the indicator, wrote truck numbers by hand and prepared passes on a separate computer. There were no photos and no link between slip, pass and invoice.

Where material went unbilled
  • Weights typed by hand
  • Truck numbers written, not verified
  • Slips, passes and invoices not linked
  • No photos to settle disputes

One transaction per truck

In QuarryPass, a truck arrives against a customer order. Cameras read its number plate, the weighbridge indicator sends the tare and gross weights directly, and photos are captured at each weighing. When the truck is loaded, the transit pass, e-way bill and invoice are generated in one step. The gate barrier opens only when the pass exists.

Decisions we made

Agreed with the owner and site managers.

01

Typed or direct weights?

  • Operator types weights
  • Weights read from the indicator

Our call: Weights read from the indicator. Direct reading removed manual errors and manipulation.

02

Separate or combined documents?

  • Slip, pass and invoice separately
  • One transaction producing all three

Our call: One transaction producing all three. Linking them closed the gap where material went unbilled.

03

Barrier control?

  • Manual gate
  • Barrier opens only with a valid pass

Our call: Barrier opens only with a valid pass. No truck could leave without a pass and invoice.

Every feature, module by module

Everything that shipped for the weighbridge, customers and management.

Weighbridge
One transaction per truck.

Rollout

The first site went live after a week of parallel running. Output and invoices reconciled within the first month, and the second site followed.

  1. Weeks 1–2
    Discovery

    Days at the weighbridge.

  2. Weeks 3–4
    Design

    Station flow and integrations.

  3. Weeks 5–10
    Build

Station app, documents and control room.

  4. Weeks 11–12
    Parallel run

    First site alongside manual slips.

  5. Weeks 13–14
    Both sites

    Second site live.

08

What we learned

Link every step to one transaction. Separate slips, passes and invoices were the leak.

Let hardware do the recording. Direct weight and camera capture removed disputes.
