BookBay: an appointment booking SaaS for salons and clinics that works the way small businesses actually run
A SaaS startup wanted to serve salons, clinics and studios that lived on paper diaries and phone calls, where no-shows ate into already thin margins. We built BookBay: online booking pages, WhatsApp confirmations and reminders, deposits to cut no-shows, staff calendars, a simple POS and a multi-branch dashboard — a product small business owners could set up in an afternoon.

Paper diaries and empty chairs
BookBay's founder had run a chain of salons. Bookings lived in a paper diary at reception; staff answered the phone while cutting hair; and no-shows left chairs empty at peak hours. Existing booking software was built for large chains and was too complex and expensive for most small businesses.

Finding the smallest useful product
We interviewed salon owners, physiotherapists and yoga studio owners. The common needs were simple: a booking link to share on Instagram and WhatsApp, reminders that reduce no-shows, and a calendar staff could see on their phones. Anything that took more than an afternoon to set up would not be adopted.

Set up in an afternoon
Owners add services, staff and hours in a guided setup, and get a booking link immediately. Customers book in seconds and receive WhatsApp confirmations and reminders. Owners can require small UPI deposits for peak slots, which reduced no-shows noticeably for early customers.
After the MVP, paying customers shaped v1: a simple POS, customer history, packages and memberships, and multi-branch dashboards.
