Laboratory Result Software: Routing, Amendments and Acknowledgement

Define laboratory result associations, amendments, routing and acknowledgement as separate software states with reviewable history.

Laboratory result software should preserve the correct patient and order relationship, distinguish result versions and route work to authorised recipients. Separate a result being received, released, viewed and acknowledged. These states support operational traceability; they do not establish that a result has been clinically interpreted or acted on.

CTA Background

Let’s plan your result routing workflow.

Bring your workflow and the decisions you need to make. We’ll help you clarify requirements, review the trade-offs and define a practical next step.

01

Define the source and release boundary

ONC's SAFER guide collection includes test-result reporting and follow-up as a dedicated review area. Use such material alongside qualified local governance; it does not establish compliance for a particular institution.

Identify the laboratory system, interface and responsible release authority. Agree identifiers, timestamps, units, attachments and version handling with the source owner. Do not infer patient matching from a name alone.

Use authorised synthetic examples during integration planning. Include corrected results, incomplete identifiers and multiple results for one order. A single tidy sample cannot establish how the feed behaves during amendments.

02

Specify the result-state matrix

State or eventSoftware requirementAcceptance evidence
ReceivedLink to the intended order and patientIdentifier mapping checked
UnmatchedHold for authorised investigationVisible exception and owner
ReleasedApply the approved release workflowResponsible actor or source status
AmendedPreserve version relationshipCurrent version and prior history clear
RoutedAssign to an authorised recipientDelivery destination and status
AcknowledgedRecord the defined user actionActor, time and version acknowledged

The organisation must define clinical escalation and responsibility through its qualified clinical governance process. This article concerns software states and procurement checks, not interpretation or treatment guidance.

03

Handle corrections without hiding history

For a hypothetical amended report, the receiving interface should make the current version clear while retaining an appropriate history. A previous acknowledgement should not silently become acknowledgement of a different version.

Decide what happens to pending notifications and downloaded copies when an amendment arrives. The system cannot guarantee that every earlier copy disappears; the approved operational process must account for that limitation.

04

Verify the staff workflow

Demonstrate finding an unmatched report, resolving its association under the correct permission and confirming the resulting audit history. Test a feed interruption and a repeated result event without creating misleading duplicate work.

Measure unresolved routing exceptions separately from overall message volume. A high percentage of successfully imported reports can conceal a small but important unresolved population.

05

Result workflow questions

Does opening a report mean it was acknowledged?

Only if that is the explicitly agreed action and meaning. Usually viewing and acknowledgement deserve separate definitions.

Should an amended report overwrite the old file?

Define version handling with the responsible clinical and records owners. Avoid an implementation that erases the explanation of earlier actions.

Use the healthcare integration checklist for mappings and discuss the routing workflow with Drema's healthcare team.
