Bed management software should distinguish an available bed from an occupied, reserved, blocked or preparation-pending bed. Show the source and freshness of status, and define who can change it. Allocation decisions and suitability criteria belong to the institution's qualified operational and clinical authorities.

Let’s plan your bed status workflow.
Bring your workflow and the decisions you need to make. We’ll help you clarify requirements, review the trade-offs and define a practical next step.
Agree what availability means
An unoccupied bed may still be unavailable. The location may be under maintenance, preparation may be pending or a valid reservation may exist. Write these distinctions before building an occupancy dashboard.
Identify the authoritative source for admission, transfer and discharge-related events. Where staff enter a status manually, show the actor and time rather than implying the display is a continuously verified live feed.
Use a status and evidence matrix
| Status | Meaning to define locally | Evidence or dependency |
|---|---|---|
| Available | Permitted for the approved allocation process | Required readiness checks complete |
| Reserved | Held under an agreed rule | Reservation owner and expiry |
| Occupied | Assigned to a current encounter | Authoritative encounter reference |
| Preparation pending | Not ready for reuse | Responsible work queue |
| Blocked | Unavailable for a stated reason | Authorised restriction and review |
| Unknown or stale | Current state cannot be established | Last update and investigation owner |
Do not count unknown status as available merely to keep a dashboard total complete. Keep the population and calculation definition visible in reports.
Manage transitions as coordinated work
A hypothetical transfer may require destination confirmation while the source remains occupied. Specify when each bed changes state and what happens if the transfer is cancelled. Avoid freeing the source solely because somebody began a transfer form.
Recheck current status when confirming a reservation or allocation. Two staff members looking at the same older screen should not create incompatible assignments. Preserve corrections and cancellation history.
Test feeds and reconciliation
Use synthetic encounter events to test delayed, repeated and out-of-order updates. Compare the dashboard with the authoritative records for a defined period and route discrepancies to an accountable owner.
If a source feed fails, show that limitation clearly. A visually current page can contain stale operational data. Define the approved manual fallback and how records are reconciled when the source returns.
Bed software questions
Does occupancy percentage show actual usable capacity?
Only with an agreed denominator and status definitions. Blocked, reserved and preparation-pending capacity need explicit treatment.
Can the system decide patient placement automatically?
That requires a separately governed scope. This guide concerns state visibility, coordination and traceability.
Review healthcare integration validation and bring the institution's status model to Drema's healthcare team.
