Evaluate healthcare software using agreed tasks, authorised test records and representatives of the people who will operate it. Ask vendors to demonstrate routine work, corrections, interruptions and access boundaries in the proposed configuration. Record unresolved clinical, privacy and operational decisions separately from features that have actually been shown.

Let’s plan your healthcare software evaluation.
Bring your requirements and the decisions you need to make. We’ll help you clarify the scope, explore the trade-offs and plan the next step.
Build a scenario pack with accountable reviewers
Choose a bounded service such as appointment registration through administrative completion. Identify which parts need review by qualified clinical staff and which belong to registration, finance, information governance or technical operations.
Use synthetic or otherwise authorised examples. A vendor demonstration should not require casual disclosure of real patient information. Provide the expected business outcome and known constraints without scripting every mouse click.
Compare the same tasks
| Scenario | Evidence to request | Reviewer to involve |
|---|---|---|
| Find and register a person | Matching and duplicate review | Registration owner |
| Reschedule a visit | Updated queues and change history | Scheduling owner |
| Complete the defined record workflow | Correct states and permitted actions | Qualified domain reviewer |
| Correct an association | Attributable correction and relationships | Information owner |
| Lose an external connection | Visible pending work and recovery | Integration owner |
| Attempt unauthorised access | Enforced refusal | Access and security owner |
| Export agreed records | Usable and appropriately scoped output | Information-governance owner |
This is an original procurement worksheet, not an official assessment or certification script. Adapt the scenarios to the organisation and the service being purchased.
Distinguish evidence from promises
Classify each result as demonstrated in the offered configuration, dependent on an extension, proposed development or unresolved. Record the environment and version shown.
A claim that a supplier can build something may be legitimate, but it needs a scoped proposal and acceptance evidence. It should not receive the same assessment as a capability already demonstrated under the required conditions.
Include an interrupted workflow
Suppose a test appointment changes after a payment request was initiated. Ask the vendor to explain the appointment, payment and notification states. Then make the notification provider unavailable and inspect the staff queue.
The system should make unresolved work understandable. A green success message on the scheduling screen does not prove that the participant was informed or that the payment arrangement was corrected.
Do not turn a software demonstration into an unsupervised clinical simulation. The responsible practitioners should define the clinical boundaries and evaluate the relevant behaviour.
Score gaps by consequence
Agree essential requirements before the meetings. A high total across minor conveniences must not conceal a consequential access or record-integrity gap. Record the affected workflow, impact, evidence still needed and decision owner.
Compare training, migration, ongoing support, data access and exit arrangements alongside functional fit. A licence or development price without these boundaries is an incomplete procurement comparison.
Questions procurement teams ask
Can the vendor's compliance claim replace review?
Request the scope and applicable evidence. A general statement or unrelated assessment does not establish suitability for your proposed deployment.
Should every department attend the same session?
Coordinate ownership, but use focused sessions where that improves assessment. Retain one shared decision register so contradictions are resolved.
Before selecting a supplier
Complete the gap register with the relevant domain owners. Use the hospital buy/configure/build guide and healthcare software overview to connect the findings to a scoped delivery decision.
