Define healthcare software access through specific tasks, records and organisational scope. Decide who may view, enter, finalise, correct, export or administer each information type, then specify the events needed to investigate those actions. A role name or an audit-log screen alone does not establish that access is appropriate or that activity is meaningfully attributable.

Let’s plan your healthcare access controls.
Bring your requirements and the decisions you need to make. We’ll help you clarify the scope, explore the trade-offs and plan the next step.
Begin with responsibilities and information boundaries
Map registration, clinical documentation, billing, support and administration separately. A person responsible for one workflow does not automatically need all information available to another role.
Ask the organisation's clinical, privacy and security owners to approve the proposed boundaries and any exceptional-access procedure. Record the purpose, scope and authority behind each permission rather than inferring policy from the software's default roles.
Use an action and evidence matrix
| Action | Scope to define | Evidence useful for investigation |
|---|---|---|
| View a record | Person, team or facility boundary | Actor, record reference and time |
| Enter information | Permitted record types and status | Actor and attributable change |
| Finalise a document | Designated responsibility | Version and finalisation event |
| Correct information | Approved correction workflow | Linked original, change and reason |
| Export records | Authorised population and destination | Request and export outcome |
| Change permissions | Administrative authority | Previous and new scope |
| Use exceptional access | Approved procedure and duration | Purpose, approval and review |
The matrix is a discovery aid, not a complete healthcare security policy. Avoid storing unnecessary sensitive content in audit events merely because a field could be logged.
Test permissions outside the happy path
Demonstrate a permitted task and a refused task using representative accounts. Include another facility's record, an account after access removal and an export that contains more information than the user may view individually.
Check background jobs, interfaces and support tools too. A well-controlled clinical screen does not resolve broad access through a reporting service or an integration credential.
OWASP's authorization guidance recommends default denial and permission validation on every request. Use it as technical context alongside the organisation's approved workflow rules.
Make the audit trail interpretable
An event should explain what occurred and which business object it concerned. Keep stable identifiers and relevant version references so a reviewer can reconstruct an authorised sequence without guessing from a free-text message.
Define access to the audit records themselves, their integrity arrangements and the appropriate handling period with the responsible owners. An audit trail that administrators can silently rewrite may not support the investigation the business expects.
Walk through a correction scenario
Suppose an authorised user discovers information associated with the wrong record. The demonstration should follow the approved correction path, preserve necessary relationships and show how relevant downstream copies are handled.
The purpose is to test accountability and system behaviour. Qualified domain owners must determine the actual record-handling procedure; the development supplier should not improvise it during a demonstration.
Questions buyers ask
Does every read need the same event detail?
Define appropriate evidence by action, consequence and operating policy. More data is not automatically a more useful audit trail.
Can emergency access be permanent administrator access?
Specify the actual exceptional procedure, including scope, expiry and review. Do not let a temporary workaround become an undocumented default.
Prepare the access workshop
Bring roles, facility boundaries, correction examples and the responsible policy owners. Use the healthcare requirements guide and healthcare development overview to scope implementation and verification.
