Referral management software should show who owns the next administrative step, what information is missing and whether the handoff reached an agreed endpoint. Sending a referral is different from the destination accepting it or an appointment occurring. Define those states with the responsible service owners before selecting screens or integrations.

Let’s plan your referral handoffs.
Bring your workflow and the decisions you need to make. We’ll help you clarify requirements, review the trade-offs and define a practical next step.
Set the workflow boundary
Identify referring and receiving teams, supported referral types and permitted information exchange. Keep clinical suitability and prioritisation decisions with qualified authorised professionals under the organisation's process.
A hypothetical multi-location service may need reception staff to confirm an appointment while another team reviews missing documents. Separate those administrative tasks so a generic In progress label does not conceal responsibility.
Build a handoff register
| Stage | Question the software should answer | Owner to identify |
|---|---|---|
| Prepared | Is required information available? | Referring team |
| Sent | Which destination received the request? | Sending coordinator |
| Incomplete | What is needed and by when? | Named clarification owner |
| Accepted or redirected | What administrative outcome is recorded? | Authorised receiving team |
| Scheduled | Is a booking confirmed? | Scheduling team |
| Closed | Which approved closure reason applies? | Responsible service owner |
Define closure reasons carefully. Completed appointment, patient decline, duplicate referral and unable to contact should not collapse into a single successful count.
Preserve the relationship between messages and work
Store communications against the referral reference with appropriate access. A reply in a shared mailbox should not become the only place that explains the next action. Show pending work and outstanding information in the operational queue.
Agree how external partners update status. Where no integration exists, provide a controlled manual update with source and timestamp rather than implying a live connection.
Review deadlines and exceptions
Set administrative follow-up deadlines from the service's approved process. Escalations should go to a named role with absence cover. The software should not invent clinical urgency from an administrative delay.
Test wrong-destination selection, duplicate referrals, missing identifiers and a destination that cannot accept the request. Verify correction history and restricted visibility across locations.
Referral software questions
Is a referral dashboard enough to close the loop?
Only if it reflects accountable updates and an agreed endpoint. Displaying sent messages alone does not establish completion.
Must every receiving organisation use the same software?
Not necessarily. Define supported integration or manual handoff methods and show their actual freshness and limits.
Connect the handoff to the appointment workflow. Bring roles and closure definitions to Drema's healthcare software consultation.
