Supplier onboarding software should collect required information, route checks to named owners and distinguish an applicant from an approved supplier record. A completed form does not verify the supplier or authorise purchases and payments. Define the organisation's review requirements before automating master-data creation.

Let’s plan your supplier onboarding.

Bring your workflow, constraints and open questions. We’ll help you define the requirements and work through a practical next step.

01

Map information to a purpose and owner

List contact, business, delivery and payment details needed for the intended relationship. Have procurement, finance and relevant policy owners specify checks, evidence and access. This guide does not determine legal verification requirements or certify a supplier's legitimacy.

Avoid requesting documents simply because another company's form includes them. Define why each item is needed, who reviews it and how it is retained or corrected.

02

Build a review register

StageMeaningControl to specify
InvitedApplication route issuedCorrect recipient and expiry
SubmittedDetails received, not approvedRequired fields and version
ClarificationInformation needs correctionAssigned question and response history
ReviewedDefined checks completedReviewer and evidence reference
ApprovedSupplier may enter permitted workflowsScope and effective status
ChangedApproved details were revisedReverification according to policy
InactiveNew use restricted as definedExisting obligations remain traceable

Use separate statuses where different reviews can finish independently. One generic Verified badge can overstate what the team actually checked.

03

Protect consequential changes

For a hypothetical distributor, changing a supplier's payment destination should not be treated like correcting a website URL. Implement the approved verification and approval process, with appropriate separation of duties and history.

Keep an audit trail of old and new values where permitted. Do not expose sensitive payment details in broad activity feeds or notification previews.

04

Test existing-record and invitation cases

Try an expired invitation, a duplicate application, a changed contact and an applicant returning after a clarification. Verify that the system does not create parallel active supplier identities accidentally.

Define who can merge or link records and how downstream orders retain their original references. Preserve the explanation of prior transactions even when a supplier becomes inactive.

05

Supplier onboarding questions

Can a supplier approve its own profile changes?

Submission and approval are distinct authorities. Follow the organisation's approved change process for each field type.

Does onboarding completion prove payment readiness?

Only if the defined finance checks and permissions have been completed. Avoid implying more than the recorded evidence supports.
