Purchase order software should preserve the approved order version, explain amendments and track how changes affect receipts and outstanding quantities. Editing the latest screen should not erase what was previously ordered or communicated. Define who may change an issued order and when additional approval is required.

CTA Background

Let’s plan your order amendment controls.

Bring your workflow, constraints and open questions. We’ll help you define the requirements and work through a practical next step.

01

Identify what an amendment changes

Separate quantity, price, delivery date, location and specification changes. Each can affect different downstream work. Have procurement and finance define the relevant approval and commercial rules rather than assuming every edit is administrative.

For a hypothetical order partially received, reducing the remaining quantity is different from rewriting the original total as though the receipt never happened. Preserve the relationship between ordered, received, cancelled and outstanding quantities.

02

Use an amendment impact matrix

ChangeDependency to reviewEvidence to retain
Quantity revisedReceipts and open commitmentsPrior and revised quantities
Price revisedInvoice matching and approvalEffective version and authority
Delivery date movedPlanning and supplier acknowledgementChanged schedule and communication
Item substitutedSpecification and receiving checksApproved replacement relationship
Balance cancelledUnreceived portion and related workCancellation reason and scope
Order reissuedWhich version the supplier should followIssue reference and acknowledgement state

Do not label a generated email as supplier acknowledgement. Sending, delivery evidence and an accepted amendment are separate outcomes.

03

Handle concurrent work

Recheck order state when committing a change. A goods receipt or invoice may have arrived after the amendment screen opened. Explain the conflict and offer an authorised review route instead of silently applying incompatible values.

Show the current version in operational views while keeping prior versions available to appropriate users. Staff investigating a discrepancy need to know which version supported the earlier action.

04

Test partial and rejected amendments

Demonstrate a changed line after partial receipt, a supplier who cannot accept the new date and an amendment requiring renewed approval. Verify planning, receipt and invoice views remain coherent.

Measure unresolved amendment communication separately from issued-order counts. A high volume of updated orders can conceal balances nobody has confirmed.

05

Order amendment questions

Should an issued order remain freely editable?

Use controlled changes with version and authority rules. The required process depends on the organisation's approved commercial arrangements.

Can an amendment remove historical receipts?

Not as an accidental side effect. Receipt corrections need their own accountable process and references.

Pair amendments with partial receiving requirements, and discuss the document lifecycle with Drema's ERP team.
