Define subscription billing as a product workflow connecting customer commitments, provider events, product access and support actions. A payment attempt, a subscription status and an entitlement are related but different facts. Agree their relationship explicitly, including pending payments, failed renewals, cancellations and corrections, before implementing the integration.

Let’s plan your SaaS billing workflow.

Bring your requirements and the decisions you need to make. We’ll help you clarify the scope, explore the trade-offs and plan the next step.

01

Choose the commercial rules first

Document what a plan includes, who may purchase it and when changes take effect. Decide trial behaviour, usage limits, cancellation timing and the handling of outstanding amounts through the responsible business owners.

Do not copy another product's grace period or cancellation experience without examining your service and contractual arrangement. This guide specifies implementation questions, not legal terms or advice on collecting payment.

02

Build an access decision table

SituationProduct decision to agreeSupport evidence
First payment pendingWhich capabilities, if any, are available?Request and provider reference
Payment confirmedWhich plan and period apply?Authoritative confirmation
Renewal failsWhat notification and access rule applies?Failure and retry state
Plan changesWhen do new entitlements begin?Approved change and effective time
Cancellation requestedImmediate or end-of-period behaviour?Customer request and acknowledgement
Refund or correctionWhat changes financially and operationally?Linked original transaction

The states describe decisions to make; they are not universal provider behaviour. Implement the chosen provider's actual events and guarantees.

03

Treat the provider as a separate authority

Stripe's subscription overview describes subscription lifecycle states and webhook-based updates. Use the current documentation for the provider and product you actually choose, including any delayed-confirmation behaviour. This reference is not an assertion that a particular provider is available to every business.

A browser redirect or a user's receipt screenshot should not silently replace the agreed authoritative payment verification. Define the server-side reconciliation and what users see while confirmation is pending.

04

Test duplicate and late events

Suppose a hypothetical customer renews while the application temporarily cannot receive updates. The later event should lead to the intended entitlement once, with a traceable reference. Replaying the event must not repeatedly extend access or create duplicate side effects.

Now introduce a cancellation request arriving around the same boundary. Decide which effective times and authoritative records resolve the result. An event's arrival order is not necessarily the order of the business changes it represents.

05

Make administration part of the scope

Support staff need to understand the customer, subscription, entitlement and provider references without manually editing unrelated database fields. Define what they may correct, what needs approval and what must be resolved through the provider.

Reconcile the populations of customers, subscriptions and payment attempts in the right units. One customer can have multiple attempts; one successful charge does not prove every related product action completed.

06

Questions product teams ask

Should billing and product access share one status field?

That usually hides useful distinctions. Model the relationship clearly enough to explain pending, disputed and corrected states.

Can we launch with manual billing?

Possibly, if the service boundary and administrative effort are explicit. Do not describe a manually managed pilot as proof that automated subscription operation is complete.

07

Prepare the billing brief

Bring plan definitions, lifecycle decisions and correction cases. Use the SaaS MVP budget guide and SaaS development overview to include billing, access and administration in one scope.
