SaaS offboarding should distinguish subscription cancellation, workspace closure, user removal and data deletion. Define when access changes, what data can be exported and which work remains pending. A single Cancel button should not hide several unrelated lifecycle decisions.

CTA Background

Let’s plan your customer offboarding.

Bring your workflow and the decisions you need to make. We’ll help you clarify requirements, review the trade-offs and define a practical next step.

01

Map the customer and workspace relationship

Identify who can cancel, whether the action affects one seat or an organisation, and what happens to other members. Confirm commercial and retention rules with the responsible owners before writing user-facing promises.

For a hypothetical team product, one departing user may need account removal while the organisation continues subscribing. Treat that differently from closing the entire customer workspace.

02

Use an offboarding lifecycle matrix

EventDecision to agreeEvidence or communication
Cancellation requestedImmediate or period-end effectEffective date and scope
Access changesRead, write and administrative capabilitiesCurrent entitlement explanation
Export requestedPermitted data and availability windowTracked job and authorised download
Integration disconnectedPending events and service accountsNamed responsibility and outcome
Workspace closesRemaining owners and dependenciesConfirmed closure state
Deletion processedApproved retention and removal rulesAccurate processing confirmation

Keep policy boundaries explicit. This worksheet does not establish the legal retention period or the customer's contractual cancellation rights.

03

Preserve pending work safely

Review active exports, scheduled jobs, outstanding invoices and connected services. Decide which complete, stop or enter review under the approved rules. Cancellation should not create an accidental cascade of duplicated or abandoned external actions.

Make reactivation behaviour clear where supported. Restoring subscription access is different from recovering data that has already been removed. Avoid an Undo cancellation label that promises more than the system can restore.

04

Test the whole exit journey

Use synthetic workspaces with multiple roles and integrations. Verify direct-link access, pending downloads and notifications after the entitlement changes.

Give support a traceable reference and clear authority limits. A customer should not need to repeat a cancellation request because the first one disappeared into an unowned queue.

05

Offboarding questions

Does cancelling billing automatically delete data?

Only if that is the explicitly designed and approved relationship. Explain the separate states accurately.

Should a user export everything before leaving?

Offer the permitted scope under the access and commercial model. An individual member may not be authorised to export the entire organisation's records.

Use the export lifecycle guide and subscription state guide. Discuss the exit journey with Drema's SaaS team.
