Schools buy ERP software to stop chasing fees and to stop answering the same parent questions on the phone. Feature lists from vendors run to two hundred items; the ones below are the ones offices, teachers and parents use every week.
Admissions and student records
Admission season is the stress test. Enquiries arrive by phone, walk-in and website, and the office needs to see every lead, every form and every seat in one place.
Fee management
This is the module that pays for the software. Indian fee structures are complicated: instalments, sibling discounts, transport slabs, late fines and concessions approved by the principal.
If parents can pay from their phone in under a minute, collections improve before any reminder goes out.
Attendance, timetable and academics
Teachers will use what takes seconds. Attendance should be a single screen with everyone present by default, and the timetable should handle substitutions when a teacher is absent.
Examinations and report cards
Report cards must match the board's format exactly, whether CBSE, ICSE or a state board. Build grading schemes as configuration so a change in assessment pattern does not need a developer.
Transport, library, hostel and staff
These modules matter to some schools and not others. Sell and build them as optional so a day school is not paying for a hostel module.
Parent, teacher and student apps
The parent app is the product parents judge the school by. Keep it to what they open it for: fees, attendance, homework, circulars, results and the bus. Send notifications in the parent's language and keep circulars searchable.
Privacy and data handling
Schools hold children's data, which is treated strictly under the Digital Personal Data Protection Act. Plan for verifiable parental consent, purpose-limited data, role-based access and a way to delete records when they are no longer needed.
