Proof-of-delivery software should link authorised evidence to the correct shipment and distinguish an attempted delivery from a confirmed operational outcome. Photos, timestamps and signatures have limits and need an approved collection and review process. Capturing a file does not automatically resolve a delivery dispute or establish legal acceptance.

Let’s plan your delivery evidence flow.
Bring your workflow, constraints and open questions. We’ll help you define the requirements and work through a practical next step.
Define the evidence requirement
Have operations and relevant policy owners specify which evidence is needed, who may provide it and how it is retained. Avoid collecting faces, identity documents or precise location merely because the device can capture them.
For a hypothetical parcel workflow, recipient unavailable, partial delivery and customer refusal need different states. A mandatory photo should not force the driver to falsely mark delivery complete.
Build an outcome and evidence matrix
| Outcome | Information to record | Review question |
|---|---|---|
| Delivered under approved process | Shipment, actor and permitted evidence | Is the record complete and linked correctly? |
| Partial delivery | Item or quantity difference | What remains unresolved? |
| Recipient unavailable | Attempt and next action | Who arranges the next step? |
| Refused or disputed | Stated reason and source | Who reviews the claim? |
| Evidence pending upload | Local versus server state | Has the authoritative record received it? |
| Correction | Original outcome and authorised change | Why did the status change? |
Use clear state names that do not overstate the evidence. A device timestamp is one recorded value, not independent verification of every delivery fact.
Support interrupted field work
Preserve pending evidence within the approved account and device boundaries. On reconnect, check the shipment's current state and prevent repeated posting.
Show drivers which records remain unsent. A green local checkmark must not be confused with server acceptance if the upload is still pending.
Test dispute and correction paths
Use synthetic shipments to exercise wrong-record attachment, lost connectivity and an authorised correction after submission. Verify who can download evidence and what appears in customer notifications.
Keep audit and support access proportionate. Delivery evidence should not become a broadly searchable collection of private locations and images unrelated to the user's role.
Delivery-evidence questions
Does a signature image prove legal acceptance?
Do not make that assumption. The organisation needs appropriate professional review of its process and claims.
Can drivers edit completed delivery evidence freely?
Use controlled correction with history and authority. Preserve the explanation of the original entry.
